How to schedule across time zones without a spreadsheet

Choose explicit event timezones, understand recurring events through daylight saving changes, and coordinate meeting times manually.

·Updated ·mmddyy

A distributed team needs two things from a meeting time: a clear instant everyone can interpret, and a reasonable hour for the people attending. Timezone support helps with the first. The second still needs coordination.

mmddyy v1 supports event timezones and timezone-aware daily and weekly repeats. It does not automatically search for overlap or rank times by fairness.

Choose a named timezone

When creating a timed event, select its timezone. A named zone such as America/New_York carries daylight-saving rules; a fixed UTC offset does not describe the same behavior across the year.

New events default to the selected calendar’s timezone. The app displays timed events in your browser’s timezone, so confirm which zone you are seeing when discussing a time with someone elsewhere.

Agree which local time a repeat should keep

A recurring meeting has to choose an event timezone. Its local start time stays tied to that zone, while people in other regions may see their local time change when daylight-saving transitions occur on different dates.

mmddyy repeats preserve the event’s local start time and elapsed duration. A start time in a skipped hour moves forward; an ambiguous local time uses its earlier occurrence. Editing or deleting an event series affects the whole series, not a single occurrence.

Treat all-day plans as dates

All-day events keep their calendar dates across timezones. For a multi-day event, the form’s end date is the last included day. Use an all-day event when the date itself matters, rather than inventing a midnight start for a timed event.

Check the human side manually

Before saving a shared meeting:

  1. Confirm the required people and their local working hours.
  2. Check the proposed time in each region.
  3. Agree which event timezone a repeating meeting should follow.
  4. Leave room for preparation and transitions.
  5. Communicate the agreed time and later changes through your usual channel.

mmddyy does not send event reminders or collect RSVPs. Its invite links grant calendar access rather than attendance status.

See the timezone guide for current behavior. Scheduling assistance is a planned feature, not a prerequisite for recording a clear, agreed plan today.

Time works better together.
